The essential documents

During an international shipment, International parcel carriers handle all requests at the relevant Customs. As a sender, you just need to provide the selected carrier, Dhl, FedEx, Ups, Tnt, Aramex, the waybill you get at the end of your booking on the Expedismart.ch website, as well as a Pro forma invoice.

The Pro-forma invoice or commercial invoice is a document provided by the carrier giving a certain number of mandatory information to declare a commodity as soon as it is imported into the country of destination.

Essential information to put in your commercial invoice or Pro-forma for a shipment:

  •  Sender (address in Switzerland)
  •  Recipient (address in Germany)
  •  Company: enter their EORI number (customs identification number in EU equivalent of our VAT number)

  •  Overall description of the goods
  •  Number of packages, number of pieces
  •  Unit value of the goods, and total value
  •  Currency (EUR, CHF, USD, GBP, etc.)
  •  Date, signature
  • Important! Like all customs invoices, it must be written in English or in the language of the country of destination.

  •  Proforma document
  •  Customs declaration
  •  No banned goods

Be aware: In the case of shipping of alcohol, in the description of the goods, indicate the color of the alcohol (white or brown) and the alcohol %.

Only companies holding an import license for wines and spirits are allowed to import wine or alcohol.

How to send a package to Italy?
The specificities

Here is the important information to know if you want to ship parcel to italy and send the following goods:

The Chocolate:

  • FedEx: chocolate must have an expiry date of more than 6 months and must be accompanied by a Pro-forma invoice.
  • UPS: Do not ship chocolate.
  • TNT: Do not ship chocolate.

A computer:

  • FedEx: If the computer contains a battery, the shipper must have a “dangerous” material declaration and a proforma invoice with the CE stamp (European standard conformity).

  • UPS: An original invoice and two copies are required, the maximum weight allowed is 70Kgs.
  • TNT: A Pro-forma invoice is to be provided.

Moving belongings:

  • FedEx: Personal effects must be declared on the invoice and confirmed by the recipient. Customs fees and VAT might be possible on arrival.
  • UPS: Do not ship any personal belongings.
  • TNT: The recipient will be taxed at customs and VAT on the value of the goods declared.

Keys (personal belonging):

  • FedEx: A Pro-forma invoice is to be provided. It is possible that duties and taxes are charged to the recipient upon receiving the goods.
  • UPS: Do not ship any personal belongings.
  • TNT: It is possible that duties and taxes are charged to the recipient upon receiving the goods.

Furniture:

  • FedEx: The sender must have a Pro-forma invoice, moreover, it is possible that duties and taxes are charged to the recipient upon receiving the goods.
  • UPS: Do not ship furniture.
  • TNT: The recipient will be taxed at customs and VAT on the value of the goods declared

Suitcase:

  • FedEx: The suitcase must not exceed 25kg. The shipper must provide a Pro-forma invoice. It is possible that duties and taxes are charged to the recipient upon receiving the goods.
  • UPS: Do not ship suitcases.
  • TNT: A Pro-forma invoice is to be provided. It is possible that duties and taxes are charged to the recipient upon receiving the goods.

Documents:

  • FedEx: The shipper must submit the packing slip.
  • UPS: The shipper must submit the packing slip.
  • TNT: The shipper must submit the packing slip. If the documents weigh more than 5kg, a pro forma invoice is required.

Credit card:

  • FedEx: The shipper must provide a Pro-forma invoice to export a credit card.
  • UPS: Do not ship credit cards.
  • TNT: Do not ship credit cards.

Wine:

  • FedEx: Sending wine is only possible from business to business. For wine and spirit it is mandatory to present an export license for the sender and an import license for the recipient. The pro forma invoice must contain the description of the goods, the color of the alcohol and its percentage
  • UPS: Do not ship wine.
  • TNT: Sending wine is only possible from business to business. For wine and spirit it is mandatory to present an export license for the sender and an import license for the recipient. There are limits to this type of shipment: 6 kg and a value of 25 CHF.

USB stick:

  • FedEx: The recipient must submit a Pro-forma invoice for this type of shipment.
  • UPS: Do not ship USB sticks.
  • TNT: The shipper must submit a pro-forma invoice.
